The product

Keysy prepares. Thomas decides.

Five situations Thomas knows by heart, and what Keysy does with them. Every screen is taken from the product, using a demonstration portfolio: 4 assets, 31 leases, 4 entities.

The subject

A mixed portfolio is not just one more portfolio.

As soon as one estate combines office, retail and residential, it no longer falls under a single body of rules. Indices diverge, notice periods diverge, energy obligations diverge — and most systems force you to open one file per regime.

Keysy was designed around this constraint, not adapted to it afterwards.

One clause. Seven files. Forty-three minutes.

Thomas is looking for the assignment clause of a 2019 lease. It is on page 9, article 12.

Document intelligence

Nothing is written without a source.

Extraction is not a black box. Every field carries a confidence score, a source page and a status. Below the threshold, control returns to the human.

  1. Step 01

    Reading

The document is segmented page by page: lease body, appendices, amendments, plans. Tables and numbered clauses are recognised as such.

  2. Step 02

    Extraction

A model specialised in French legal texts identifies the 18 fields of the reference file and keeps, for each one, the original page and passage.

  3. Step 03

    Control

Business rules applied to the output: rent/area consistency, index compatible with the regime, ordered dates, applicable caps.

  4. Step 04

    Decision

Above the threshold, the field is proposed pre-filled. Below it, it is flagged and blocks validation until a manager has settled it.

Four rules, non-negotiable.

  • Nothing is written without a source.Every extracted field points back to its page and article. A manager can go back to the text in one click, without reopening the PDF elsewhere.
  • The threshold is yours.Configurable per field type. Above it, the field is proposed; below it, it blocks. No lease enters the reference file with an undecided field.
  • The model does not calculate the revision.Extraction identifies the index; the calculation is done by a deterministic, verifiable and reproducible rule. A regulated amount never comes out of a probabilistic model.
  • Everything is logged.Proposed value, retained value, author of the decision, timestamp. The human correction is kept on the same footing as the proposal.

1 April

The revision date was in the lease.

The due date, though, was in someone else’s diary. Three months of increase lost.

Read. Revised. Reconciled.

01 — Set-up

The lease is read, not retyped.

Parties, areas, rent, deposit, index and reference quarter, service-charge clauses, three-year break dates: fields are extracted and attached to the asset. Notarial deeds, inspection reports and amendments follow the same route.

Migrating a portfolio of 120 leases: a few days, against several weeks of data entry.

02 — Revision

Each lease is revised according to its own index.

The system identifies leases due for revision, applies the index and quarter stipulated in the contract, checks the caps and produces the regulatory letter. The calculation stays broken down line by line and enforceable in case of dispute.

Up to 200 mixed leases revised in one session, each with its own justification.

03 — Operations

Receipts are reconciled, discrepancies surfaced.

Accounts are connected read-only through a PSD2 aggregator. Every transaction is matched to its lease. Discrepancies, partial payments and emerging delays feed the processing queue, with the formal notice drafted at the right contractual stage.

The delay is identified at D+3, before amicable recovery loses its effectiveness.

On the road

The approval was waiting for their return to the office.

A revision ready, an unpaid rent at D+21: everything is decided from the phone, with the same trail.

Before: Wait until MondayAfter: Approve in a few seconds

Mobility

An approval should not wait for your return to the office.

Most of what Keysy prepares can be approved in seconds. The iOS and Android app, currently in closed testing, will pick up the processing queue, with the same approval route and the same audit trail as the desktop.

  • Approve on the move. Revisions, rent calls, formal notices: the prepared document can be viewed and signed from the phone, with strong authentication.
  • Be alerted at the right time. Threshold exceeded, unpaid rent recorded, notice deadline: the notification carries the action, not just the information.
  • Record on site. Timestamped photo, meter reading, inspection remark — attached to the asset with no re-entry on return.
  • The same log. An approval from the phone is traced identically: author, timestamp, previous value.

We sign nothing on behalf of our clients. A notice to quit, a formal notice, a revision commit the principal — not the software vendor. Keysy takes care of the preparation, never the decision.
